Many of our MULS participating libraries are also affiliated with the National
Network of Libraries of Medicine/Greater Midwest Region (NNLM/GMR) and utilize
the DOCLINE interlibrary loan system. As part of that system, they maintain a
separate set of holdings information in the SERHOLD database.
Ideally, libraries participating in both MULS and DOCLINE/SERHOLD should keep
both systems up-to-date, so that the holdings information is the same, whichever
system the user might consult. This can be done either by updating SERHOLD and
OCLC independently, or through a batch update process.
SERHOLD Updating via the Internet
Updates to SERHOLD are made by logging into DOCLINE via the internet and making
updates under the Serial Holdings tab. This is a separate transaction from updating
holdings in OCLC, and SERHOLD uses a different format to represent the holdings
data than OCLC uses.
SERHOLD Batch Updating to OCLC
DOCLINE/SERHOLD libraries that also have holdings in OCLC can use their SERHOLD
holdings as the source for a batch update to their records in OCLC. By selecting
the appropriate setting in their SERHOLD preferences, the library's holdings can
be included in a quarterly download from SERHOLD which is then uploaded into OCLC,
automatically changing the OCLC Local Holdings Records to match the SERHOLD data.
Be sure to note the details about record matching, which is not always seamless due
to differences in the SERHOLD and WorldCat catalogs. Also note how the batch process
handles deletions, which may require some extra work (at least initially) to make
the updates in OCLC.
